A brief introduction

At Hubdrive, we develop the world’s leading Microsoft HR software. Every day, people in 36 countries use our HR for Dynamics software — across Europe, North America, and everywhere else in the world. Our team is just as international.

We’re a mix of Silicon Valley and a German SME: technologically at the forefront, with highly sophisticated structures and processes. We grow by more than 40% every year. That’s why we need you.

Your role as a SharePoint Specialist

Our software is used by companies all over the world. Microsoft has named us the world’s best ISV three years in a row. We’re proud of that. But we want to make our HR solution even better. That’s where you come in:

You will build the Digital Personnel File in HR for Dynamics from the ground up, based on SharePoint — from document management and GDPR-compliant archiving to version control. The goal is a module that HR departments worldwide can use out of the box.

We work directly with Microsoft Headquarters in Redmond. You’ll get exclusive insights into the latest developments around SharePoint, Microsoft Purview, and the Microsoft Power Platform.

Job details — this is how we work

  • First, you’ll work with Product Management and our HR Best Practice Consultants to analyze which document processes HR professionals actually need — from employment contracts and references/certificates to application documents.
  • You’ll then design the structure of the Digital Personnel File: ready-made content types such as “Employment Contract” or “Certificate,” with mandatory metadata that enables targeted searches and automation.
  • You’ll configure the native Dynamics–SharePoint integration so that a document storage location is automatically created for each employee record. HR employees will work directly from the HR interface without having to consciously use SharePoint.
  • Using Microsoft Purview retention templates and event-based retention, you’ll implement statutory retention periods. An employee leaving the company in HR for Dynamics starts the retention clock; once the period expires, documents are deleted on time and in a verifiable manner. Particularly sensitive documents, such as salary records, are protected using Sensitivity Labels.
  • You’ll build workflows with Power Automate — document approvals with approval loops, automatic filing of generated contracts, reminders when certificates are about to expire — and you’ll consider versioning with major and minor versions from the outset.
  • You’ll develop a clean permissions concept that combines Dynamics security roles with SharePoint permissions, and you’ll repeatedly test the module using real-world scenarios and feedback from Customer Success and Consulting.
  • Your work doesn’t end with the first release. You’ll continuously add further features, such as the self-service portal, communicate directly with customers, and turn individual customer requests into general solutions that benefit all customers worldwide.
  • AI will be your daily companion — in both directions. You’ll use AI tools to work faster and better, while also bringing AI into our module. For example, Copilot could use SharePoint as a grounding source to answer employee questions such as “How many vacation days am I entitled to?” directly from company policies.
  • And that’s what makes the whole thing complete.

You have experience as a SharePoint Specialist

The Digital Personnel File will be your baby.

  • You have several years of professional experience with SharePoint Online and Microsoft 365. We’re not looking for a beginner, but someone who has independently implemented document management projects.
  • You’re confident with content types, metadata, permissions concepts, and versioning, and you know from experience how to structure document systems so they remain clear and performant even with thousands of personnel files.
  • You’re familiar with Microsoft Purview (Retention Labels, Records Management, Sensitivity Labels) — or at least you have already implemented compliance requirements such as retention periods and automated deletion concepts.
  • Ideally, you’re familiar with Microsoft Dynamics 365 and its native SharePoint integration. At a minimum, you have experience with Power Automate and integrating SharePoint with other systems.
  • Retention periods such as the 6–10 years required under German tax law for payroll documents, or the AGG retention period for application documents, are not foreign concepts to you — or you’re able to quickly and genuinely engage with the relevant subject matter.
  • You communicate confidently in German and English, because your module will be used worldwide.

What you can look forward to

  • Early access to the latest SharePoint, Purview, and AI technologies from Microsoft. Explore new features on exclusive preview instances before they become known to the wider market.
  • Your work won’t disappear into a drawer: The Digital Personnel File will be used daily by HR departments in 36 countries. It’s hard to find a SharePoint specialist role with more visible impact.
  • You’ll redesign the document management of an entire product suite from the ground up — no patchwork on someone else’s legacy systems, but your own signature on a genuine product differentiator.
  • We’re ambitious about careers and success: From the beginning, we’ll plan your specific professional development with you — in writing and for the long term. Want more responsibility? Just ask!
  • Our employees are our greatest source of pride. We’ll support you from day one — and “team member” means more than just a formal title.
  • No travel to customers: Enjoy the beauty of Franconia and spend your evenings by the Main River or at home.
  • Silicon Valley atmosphere at our headquarters — a converted old loft in Würzburg.
  • An attractive salary package with a financial share in the company’s success, paid out quarterly.

11 additional, exciting reasons

What might be annoying about the role

For us, honesty & transparency are important values. That’s why we’ll also tell you upfront where the challenges are:

  • Compliance is not optional: Retention periods, GDPR, and Records Management require absolute precision. A mistake in the deletion concept won’t become apparent tomorrow — it may only surface during a tax/business audit five years from now.
  • Your module has to work for every customer — from a 50-employee company to a multinational corporation, in every country with its own retention periods and data-protection requirements. A small mistake in the permissions concept can quickly turn into a worldwide adventure.
  • Synchronizing permissions between Dynamics security roles and SharePoint isn’t automatically granular. You’ll repeatedly have to work through tricky configurations — copy-and-paste solutions won’t work here.
  • Balancing conceptual design, implementation, coordination with Product Management, and documentation can be challenging.
  • And occasionally, you’ll need to coordinate with Microsoft Headquarters in Redmond — which, thanks to the time difference, can sometimes mean meetings at 9 p.m. your time.

But hey, all of that is the perfect opportunity to master your superpowers when it comes to juggling documents, deadlines, and permissions — it certainly won’t be boring!
